NexaSoul is committed to safeguarding your privacy. This policy explains what information we gather as a developer club, how we use it to enhance student development, and how we keep it safe.

1. Information We Collect

As a student-led frontend and full-stack development club, we collect information to manage our community, workshops, hackathons, and resource distribution. We only gather data that helps us deliver better learning experiences:

  • Personal & Academic DetailsFull name, official university email address, college roll number, and department (e.g., Computer Science Engineering).
  • Developer ProfilesYour GitHub username, LinkedIn profile URL, and portfolio website link to assess project contributions and display team profiles.
  • Technical InterestsYour primary programming stacks (e.g., React, Next.js, Node.js, Prisma, SQL), experience level, and learning goals.
  • Event ParticipationRegistration and attendance details for hackathons, bootcamps, workshops, and speaker sessions.

2. How We Use Your Data

The data we collect is utilized strictly to run NexaSoul activities and promote your technical growth. We use your data to:

  • Administer event registrations, compute leaderboard scores, and award digital completion certificates.
  • Manage access to the NexaSoul Student Resource Center, code templates, and collaboration platforms.
  • Invite students to GitHub organizations, repositories, and private Slack/Discord discussion channels for collaborative projects.
  • Report student participation to the CSE Department faculty for official university course credits, internship sign-offs, or extracurricular points.

3. Data Storage & Security

We take modern security practices seriously. Since we teach full-stack development, we implement the same standards in our club’s infrastructure:

  • Safe InfrastructureAll database queries are conducted securely via modern ORMs (such as Prisma) preventing SQL Injection. Environmental tokens and database keys are kept locked and never exposed on the client.
  • Limited AccessAccess to database panels, project management interfaces, and registration exports is limited solely to active NexaSoul Core Team leads (Secretary, Joint Secretary, and Web Admins).

4. Code Repositories & Open Source

When you join NexaSoul and contribute to our projects, standard code-sharing rules apply:

Any code contributed to NexaSoul GitHub repositories (whether public or private) is subject to open-source licensing. Your commits, pull requests, and comments will remain visible globally on GitHub as part of public archive history.

Please refrain from committing sensitive data, keys, or credentials to any club repo. NexaSoul is not responsible for credentials accidentally leaked in git histories.

5. Information Sharing & Disclosure

NexaSoul does not sell, rent, or trade your personal information. We only share details in these specific circumstances:

  • University Authorities: Sharing attendance logs and performance metrics with CSE department chairs when required for credit evaluations.
  • Event Sponsors: In hackathons, we may share resumes or project GitHub links of participating teams with sponsors for hiring purposes, only when you opt-in.

6. Your Rights & Control

You have complete control over your data. As a student in our community, you may:

  • Request to inspect what personal or academic data we hold about you.
  • Update your profile details, portfolio website links, and tech stack preferences inside our portal.
  • Ask to have your account deactivated and your data permanently deleted from our records. (Note: Public contributions on GitHub repos cannot be wiped as they represent git history).
